Syncing Macros from MacroFactor

MacroFactor doesn't connect directly to Apotheo, but you can sync your nutrition data through Apple Health. MacroFactor writes your macro and calorie data to Apple Health, and Apotheo reads it from there.

How to Set Up

Step 1: Enable Apple Health in MacroFactor

In the MacroFactor app, go to Settings
Enable Apple Health syncing
Allow MacroFactor to write nutrition data to Apple Health

Step 2: Connect Apple Health Nutrition in Apotheo

Open the Apotheo iOS app
Go to Settings > Integrations
Under the Nutrition section, enable Apple Health
Allow Apotheo to read nutrition data from Apple Health

Your MacroFactor data will now flow through Apple Health to your Apotheo check-ins.

Protein, Carbohydrates, Fat, Fiber
Sodium, Potassium, Alcohol

Requirements

You must use the Apotheo iOS app — Apple Health data won't sync from a web browser
Both MacroFactor and Apotheo need Apple Health permissions enabled

Things to Know

Since this syncs via Apple Health, it counts as your nutrition tracker — you won't be able to connect another nutrition app at the same time
Data syncs when you open the Check-In section in the Apotheo app
Make sure you log your food in MacroFactor before submitting your check-in

Connecting MyFitnessPal

MyFitnessPal syncs your daily calories, macros, and food diary with your Apotheo check-ins. Before connecting, you'll need to enable diary sharing in MyFitnessPal.

Step 1: Enable Diary Sharing

Your coach needs to be able to view your food diary. In the MyFitnessPal app:

Go to More > Settings > Diary Settings > Diary Sharing
Set your diary to Public

If you prefer not to make your diary public, you can set it to Friends Only and accept your coach's friend request on MyFitnessPal.

Step 2: Connect to Apotheo

Go to your Account page and find the Integrations section (or Settings > Integrations in the Apotheo app)
Click Connect next to MyFitnessPal
You'll be redirected to MyFitnessPal to authorize access
Log in and approve the connection

Once connected, your nutrition data syncs automatically with your check-ins.

Nothing is syncing

Check that you have the correct MyFitnessPal account connected. The username shown on your check-in form should match the one in the MyFitnessPal app under More > Settings > Profile.

If it doesn't match, disconnect MyFitnessPal from your Account page, then connect the correct account.

If you modify foods you tracked in MyFitnessPal for days that were already synced, the change

Add Your First Client

Once your account and Stripe are set up, you're ready to add your first client. Navigate to Clients in the sidebar and click Add New Client in the top right.

A panel will slide in from the right with the following fields:

Required Fields

First Name — your client's first name
Last Name — your client's last name
Email — the email address your client will use to log in. They'll receive a one-time login link at this address.
Service — the coaching service you're assigning them to (e.g. "Online Coaching", "Competition Prep"). Services determine which check-in configuration and settings the client uses.
Signup Form — auto-populated based on the selected service. You can change it if needed — for example, switching to a simpler form when transferring an existing client.
Pricing — the pricing option for this service. This controls how much the client pays and on what schedule.
Coach — the coach assigned to this client. Defaults to you, but can be changed if you're on a team plan.

Optional Fields

Paid Until — if the client is in a trial period, you can set how long their trial lasts.

How Apotheo's Pricing Works

Apotheo charges a flat fee per client per month — there are no upfront costs, monthly subscriptions, or feature tiers.

Free Trial

When you first sign up, you get a free trial to explore the platform and set up your coaching business. During the trial, you can add clients and process payments without any Apotheo fees.

Application Fees

Once your trial ends, Apotheo deducts a fee of $10 per client per month from each payment your client makes via Stripe. This appears on your Stripe dashboard as an Application fee.

How this works depends on your client's billing schedule:

The fee is proportional — you always pay $10/client/month regardless of how the client is billed.

Viewing Your Fees

You can see a breakdown of all application fees on your Apotheo dashboard under Stripe Transactions. Each transaction shows the client payment amount, the Apotheo fee, and the Stripe processing fee.

Stripe Processing Fees

In addition to Apotheo's application fee, Stripe charges its own processing fees on each transaction. These are standard Stripe rates and are not set by Apotheo. See Stripe's pricing page for current rates.

Nothing is syncing

Make sure you've granted Apotheo permission to read your MacrosFirst data
Check that you have food logged in MacrosFirst for the dates in your check-in period
Try disconnecting and reconnecting MacrosFirst from your Account page

Things to Know

You can only connect one nutrition tracker at a time — if you already have another nutrition app connected, disconnect it first from your Account page
Data syncs for the check-in period — the days between your current and previous check-in

After logging in, you'll land on your Dashboard — the central hub for managing your coaching business.

Check-ins — a count of unread check-ins, with filters for ones unread for 24+ hours and overdue check-ins
Clients — your active client count, clients due for a touch base, and plans due for renewal
Payments — overdue, expired, and expiring payment summaries
Signups — paid, completed, and unpaid signup counts
Applications — unread, pending, and waitlisted application forms

Each metric is clickable — select any one to jump directly to a filtered view of the relevant clients.

Below the summary cards you'll find a map of your clients' locations and today's events from your calendar.
