Zapier Integration
Zapier Integration
Zapier lets you connect Apotheo to thousands of other apps and automate workflows. When certain events happen in Apotheo, Zapier can trigger actions in other tools — like adding a new client to your email list, sending a Slack notification when a check-in is submitted, or logging payments to a spreadsheet.
How It Works
Zapier uses triggers and actions:
- Triggers are events that happen in Apotheo (e.g. a new client is added, a check-in is submitted)
- Actions are tasks performed in other apps when a trigger fires (e.g. send an email, create a spreadsheet row, post a Slack message)
You combine triggers and actions into Zaps — automated workflows that run in the background.
Setting Up the Integration
- Create a Zapier account if you don't have one
- Search for Apotheo in Zapier's app directory
- Follow the prompts to connect your Apotheo account
- Create a new Zap and select an Apotheo trigger
Available Triggers
Triggers are events in Apotheo that can start a Zap:

Client Paused | A client's subscription is paused |

Client Deleted | A client is deleted |
Application Form Submitted | Someone submits an application form |
Application Accepted | An application is accepted |
Application Moved to Pending | An application status moves to pending |
Application Rejected | An application is rejected |
Available Actions
Actions are things Zapier can do in Apotheo when triggered by another app:
Action | Description |
|---|---|
Create Client | Creates a new client account with specified coach, service, and pricing |
Find Client | Searches for a client by email and returns their details |
Send Message | Sends a message from the coach to a client |
Update Paid-Until Date | Updates a client's payment expiration date |
Archive Client | Archives a client account |
Restore Client | Restores an archived client to active status |
Pause Client | Pauses a client's subscription (with optional end date) |
Resume Client | Resumes a paused client's subscription |

Tips
- Start with simple Zaps and add complexity as needed
- Test your Zaps with sample data before relying on them
- Use Zapier's filtering features to only trigger on specific conditions (e.g. only clients on a certain service)
- Check your Zap history in Zapier to troubleshoot any issues
