Responding to Check-Ins

Responding to Check-Ins


When a client submits a check-in, it appears in your Unread Check-ins list in the sidebar. Open it to review their data and send your response.


Opening a Check-In


You can access check-ins from several places:


  • Sidebar > Unread Check-ins — shows all check-ins waiting for your response
  • Client list — click the View check-in button on a client row
  • Client profile > Check-Ins tab — view a client's full check-in history


Reviewing a Check-In


The check-in view is organized into sections, each accessible via sticky navigation tabs at the top:

Notes


Any notes the client included with their check-in.

Photos


Progress photos submitted by the client, organized by the categories defined in their photo form.

Measurements


Weight and body measurement data, including:


  • Weight table — recent weight entries with diffs
  • Body measurements — waist, hips, and other configured measurements
  • Charts — visual weight trends over time with daily, weekly, and monthly interval options

Synced Data


Data from connected health apps (Oura, Whoop, Fitbit, Garmin) if the client has linked any — including activity scores, sleep breakdowns, daily steps, mindful minutes, resting heart rate, HRV, and cycle history.

Nutrition


Food log data and macro tracking information, including adherence to assigned nutrition targets. The nutrition section includes:


  • Food Log — a daily breakdown of meals and items logged by the client
  • Weekly Macros — a table showing daily macronutrient totals (protein, carbs, fat, calories) with trend arrows, target types, and training day indicators

If the client syncs their nutrition from an external app, you can click the refresh button (sync icon) in the top-right corner of the weekly table to re-sync the latest macros and food diary data.


Habits


Habit completion data showing which assigned habits the client tracked and their adherence rates.

Messages


Messages the client sent as part of this check-in. Click the section header to expand it.

Questions


The client's answers to their configured check-in questions. Shows each question with the client's response, or "Not answered" if they skipped it. For behavior follow-up questions, the previous check-in's response is shown for reference.

Response


Where you write and send your response to the client.

Writing Your Response


Scroll to the Response section at the bottom, or click Response in the navigation tabs.


The response editor supports:


  • Rich text — format your response with bold, italic, headings, lists, and links
  • Video recording — click the Record Video button to record a response via Loom
  • Voice recording — record an audio response (if enabled)
  • Quote reply — reference specific content from the check-in


Auto-Save


Your response is automatically saved as a draft as you type. You'll see a "Draft Saved" indicator with a timestamp. If something goes wrong, your work won't be lost.


Pop-Out Editor


Click the pop-out button to open the response editor in a floating window pinned to the bottom right of the screen. This lets you scroll through the check-in data while keeping your response visible.

Sending Your Response


When you're ready, click Send. The client will receive a notification that their check-in has been reviewed.


Note: The Send button is only visible if you're the assigned coach for this client.


Skipping a Check-In


If a client's check-in is overdue, you can skip it from the client list by clicking Skip Update in the row action menu. You can also configure auto-skip rules in Settings > Check-In Settings to automatically skip check-ins that are overdue by a set number of days.
