# Changing a Client's Product

You can move a client to a different product at any time, for example from monthly coaching to a quarterly plan, or from one program to another. If the client has an active subscription, Apotheo updates their existing Stripe subscription to the new price. It doesn't create a second subscription.

## How to Change a Client's Product

1. Navigate to **Clients** and open the client's profile
2. Click the pencil next to **Product** at the top of the profile. You can also open the **Billing** tab and click **Edit** next to **Product**.
3. In the **Change Pricing** dialog, choose the new **Product**
4. If the client has an active subscription, choose the **Subscription option** for the new product (for example "$150 - Month" or "$400 - Every 3 Months")
5. Decide whether to prorate (see below), then click **Save**

You'll see "Subscription successfully changed." when it's done.

## Proration

The proration settings only appear when the client has an active subscription and you pick a different subscription option. **Prorate** is off by default.

### Prorate Off

The client moves to the new subscription option and is charged the new price automatically on their **next billing date**. Their billing date stays the same, even if the new option bills on a different interval, and there's no extra charge or credit for the current period.

### Prorate On

Apotheo works out the difference between what the client has paid for the current period and what the new option costs for the rest of it, and shows it in the dialog as **Total prorate amount** or, if the client is owed money, **Client receives credit**. Then choose when to apply it:

- **Now**: the client is invoiced and charged the prorated amount today
- **Next Invoice**: the prorated amount is added to (or taken off) their next invoice

A few combinations aren't available:

- If the client would receive a credit, **Now** is turned off and the credit goes on their next invoice
- If the new option bills on a different interval (say monthly to quarterly) and the client owes money, **Next Invoice** is turned off, so the difference is charged now
- If the subscription is in a free trial, you'll see "Prorating is not available for this subscription". Save with Prorate off instead.

Check the amount before you click **Save**. It's shown as a number without a currency symbol, in the client's billing currency.

## Clients Without a Subscription

If the client paid a one-off amount, hasn't paid yet, or isn't billed through Apotheo, changing their product only updates the product shown on their profile. Nothing is charged and Stripe isn't contacted. New payments follow the usual rules for the product they're on.

## Things to Know

- **Product and Service are separate.** Changing a client's product doesn't change their service, so their check-in schedule and questions stay the same. To change those too, click the pencil next to **Service**.
- **Same currency only.** For a subscribed client, the list only shows subscription options in the currency they already pay in.
- **Products with a deposit option** aren't offered in this list.
- **A scheduled cancellation is cleared.** If the client's subscription was set to cancel at the end of the period, changing their product removes that. Cancel again afterwards if you still want it to end. See [Cancelling a Subscription](https://help.apotheo.com/en/article/cancelling-a-subscription-r91zcc/).
- **The client isn't emailed by Apotheo.** Let them know about the change yourself. If you charge the difference **Now**, Stripe may send them a receipt, depending on your Stripe email settings.
- **Zapier:** the change fires the **Client Pricing Changed** trigger, if you use it.
- **Who can do it:** coaches, admins and owners. Coaches can change their own clients' products.

## When You Can't Change the Product

| What you see | Why, and what to do |
|---|---|
| "Cannot change pricing while subscription is paused." | Resume the client first. See [Pausing and Resuming Clients](https://help.apotheo.com/en/article/pausing-and-resuming-clients-z7thsl/). |
| "Switching to pricing with phases is forbidden" | A client with an active subscription can't be moved onto pricing with phases. It's only possible for clients who haven't paid yet, or whose one-off payment has run out. See [Subscription Schedules](https://help.apotheo.com/en/article/subscription-schedules-1s71ia9/). |
| "… subscription option not found, cancel subscription before switching." | The new product has no subscription option. Cancel the client's subscription first, then change the product. |
| "The same payment option selected." | The client is already on that subscription option. Pick a different one. |
| "Stripe is not connected" | Reconnect Stripe. See [Connect Stripe](https://help.apotheo.com/en/article/connect-stripe-27youc/). |
