Calendar Booking Links

Booking links let your clients schedule coaching calls directly from their portal. Paste a URL from a supported scheduling service and Apotheo handles the rest — detecting the provider, embedding the scheduler where possible, and pre-filling your client's name and email.

Setting Up Booking Links

1. Navigate to Settings > Coaching Calls
2. Click Create to add a new booking link

Configuring a Booking Link

When creating or editing a booking link, you'll configure:

• Name — a label for this booking link (e.g. "30-Minute Check-In Call", "Initial Consultation")
• URL — the scheduling link from your provider (e.g. https://calendly.com/yourname/30min)
• Description — optional text visible to clients
• Coach — which coach this booking link is for
• Services — which coaching services this booking link applies to. Only clients on the selected services will see this link.

Apotheo automatically detects which scheduling service the URL belongs to and adjusts the client experience accordingly — no need to select a provider manually.

Supported Scheduling Services

For all supported services, Apotheo automatically appends the client's name and email as URL parameters so the booking form is pre-filled.

Editing a Booking Link

1. Find the booking link in the Coaching Calls list
2. Click the Edit button
3. Update the fields and save

Deleting a Booking Link

Click the Delete button next to the booking link and confirm in the dialog.

What Clients See

Clients assigned to a service with a booking link will see a scheduling option on their dashboard. Depending on the provider, clicking it either opens an inline scheduling widget (Calendly, TidyCal) or takes them to the scheduling page in a new tab with their name and email pre-filled.

Multiple Booking Links

You can create multiple booking links for different purposes — for example, one for regular check-in calls and another for initial consultations. Each can be assigned to different services and coaches.
