Archiving, Deleting, and Restoring Clients
Archiving, Deleting, and Restoring Clients
Apotheo uses a two-step process for removing clients: first archive, then optionally delete. This prevents accidental data loss.
Archiving a Client
Archiving removes a client from your active list without deleting their data. You can archive a client from two places:
From the client list:
- Select one or more clients using the checkboxes
- Click the Archive bulk action in the toolbar
From a client's profile:
- Open the client's profile
- Click the Options dropdown in the top right
- Select Archive

Note: You cannot archive a client with an active subscription. Cancel their subscription first, then archive.
Archived clients are moved out of your active client list. You can find them by filtering the client list by status.
Restoring a Client
To bring an archived client back:
- Find the archived client in your client list (filter by archived status)
- Click the Options dropdown or use the row action menu
- Select Restore

The client will be moved back to your active list with all their data intact.
Deleting a Client
Deletion is permanent and only available for archived clients. To delete a client:
- Archive the client first (if they aren't already)
- Open their profile or find them in the client list
- Click the Options dropdown
- Select Delete
- Confirm the deletion in the confirmation dialog

Warning: Deleting a client permanently removes all their data, including check-in history, messages, and payment records. This cannot be undone.
Bulk Actions
You can archive or delete multiple clients at once from the client list:
- Select clients using the checkboxes in the table
- Use the bulk action buttons in the toolbar:
- Archive — available for active clients
- Delete — available only for archived clients
