Adding and Removing Coaches


Manage your coaching team by adding new members and deactivating those who leave. All team management happens in Settings > Manage Coaches.


Adding a Coach


  1. Navigate to Settings > Manage Coaches
  2. Click Add to open the slide-over panel
  3. Fill in the required fields:

  • Profile Photo — upload a photo (click the circular placeholder)
  • First Name — the team member's first name
  • Last Name — the team member's last name
  • Pronouns — their pronouns (e.g. "he/him", "she/her") — up to 2 separated by "/"
  • Email — their email address. They'll receive a login invitation at this address.
  • Role — select from the available roles (see Roles and Permissions). A description of each role appears below the dropdown when selected.


  1. Click Create


The new team member receives an email invitation with a login link. Once they sign in, they'll appear in your team list and can start working with assigned clients.


Editing a Team Member


  1. Find the team member in the Manage Coaches list
  2. Click Edit to open the slide-over panel
  3. Update their details (name, pronouns, email, photo)
  4. Change their role if needed (see note on role restrictions below)
  5. Click Save


The edit panel also shows how many clients are assigned to this team member. Click the client count to view their client list.


Deactivating a Coach


When a coach leaves your team, deactivate their account rather than deleting it. Deactivated coaches lose access to your account but their data is preserved — you can reactivate them later if needed.


  1. Find the team member in the Manage Coaches list
  2. Click the three-dot menu (⋮) on their card and select Deactivate

  1. A confirmation dialog appears. Type the coach's full name to confirm, then click Deactivate.

Important: If the coach has clients assigned to them, you'll be prompted to select another coach to reassign those clients to before the deactivation can proceed.


Once deactivated, the coach:


  • Can no longer log in
  • Is moved to the Deactivated Members filter on the team page
  • Can be reactivated at any time from the three-dot menu on their card

Reactivating a Coach


To restore a deactivated coach's access:


  1. Switch to Deactivated Members using the filter dropdown
  2. Click the three-dot menu (⋮) on the coach's card
  3. Select Activate — the coach is immediately restored and moved back to Active Members


Team Overview


The Overview tab on the team management page shows summary metrics:


  • Payment Overview — total signups, paid signups, refunds, revenue, and active client counts
  • Service Overview — active client breakdown by service type
